Initialize

Initializing is a method in which templates can be used to create the calendar.

Once you have created your templates, the next step in the process of creating the calendar, is to initialize the schedule. This will default your "under construction" weeks, to whatever your template is for each corresponding week.

 

  1. First, go to manage schedule under the schedule tab on the top menu.

  2. Choose the week you want to initialize. You can do multiple weeks by changing the number of weeks in the upper right hand corner of the calendar.

  3. Right click on any on the dates and select Initialize from templates.

  4. A dialog box will appear. Select which templates you would like to use and click Submit

  5. Now each day in your view of the Current Calendar has been populated with copies of the time blocks from each corresponding day of your template

 

Note: Initializing takes into account scheduled time off, which is normally tracked in the Calendar. Normally, time off blocks would be the only time blocks existing in the Current Calendar before initialization, as time off can be scheduled far out into the future. If you have any time off blocks in the Current Calendar that would cause a double scheduling error with the recurring time blocks coming in, the time blocks coming in are automatically changed to an open (unassigned) status. In this way the system shows that there is some task that needs to be filled with a replacement for the employee that is out. The time off block that was originally in the Schedule remains, to record the employee's time off for reporting purposes.
